You win the network. You win the printers. Then you lose the whole refresh on the monitor line.
Displays are the highest-count line on a refresh quote and the easiest one for your customer to price-check. Here is why the category is hard to win on price, what actually drives its size, and the three ways to quote it.
It is the most familiar way to lose a deal you had already earned. The switches are specified, the MFP fleet is agreed, the install schedule is drafted — and then your customer opens a retail tab, prices the monitors themselves, and asks why yours cost more. Suddenly the cheapest line on the quote is the one deciding whether you keep the project.
01Why the smallest line item carries the most risk
Monitors are unusually easy for a customer to check. Nobody price-shops a managed switch line by line, but everybody knows roughly what a 24-inch display costs, and the number is one search away. That transparency is the whole problem.
When the national brands are the only option on your line card, their street pricing sets the ceiling and there is very little room underneath it. Roughly a third of the pipeline is shopping primarily on price, and against that segment you are left choosing between two bad outcomes: discount the monitors down to retail and watch the margin on the whole project evaporate, or hold your price and hand the refresh to someone else.
02What actually drives the monitor line
Before you can quote the category differently, it helps to be precise about why it gets so large in the first place. Three things do most of the work.
- ★Count — dual monitors are the default desk configuration now, so the display line is seats multiplied by two. It is almost always the highest-unit line on a refresh.
- ★Spec floor — most seats need a solid IPS panel with accurate color and a comfortable stand. They do not need a flagship. The gap between “good enough to work on all day” and “top of the range” is mostly price.
- ★Department mix — reception, hot-desks and huddle rooms do not need the panel you would put in front of the design team. Quoting one specification across every seat overbuys most of them.
03Three ways to quote a refresh
- ★National brand at street price — you match what the customer found online. The quote survives, the relationship survives, and there is nothing left in the category for you. Do it across ninety-six panels and it is felt across the whole project. Competitive, no margin.
- ★Grey market or refurbished — the numbers work beautifully right up until the first return. No manufacturer warranty path, inconsistent panel lots, and a returned merchandise authorization process you end up owning yourself. One bad batch costs more than the category earned. Margin, until the first RMA.
- ★A channel brand built for the quote — a display line priced for the volume seat, specified to the floor rather than the ceiling, sold only through distribution, and warranted properly. You compete on the price-sensitive half of the pipeline without discounting the rest of the bill of materials. Competitive, margin intact.
